JOB DESCRIPTION
Project Manager Expectations:
- Simultaneously manage multiple construction projects within timeline, budget, and scope from start-to-finish by mastering OS Project Management Systems
- Meet or exceed KPI (Key Performance Indicators) targets
- Provide continual input to optimize OS systems and operations

- Maintain >.1% of project costs liable to OS
- Maintain >4.5 stars client and partner (subs, restoration, insurance, material expediters) relations
- Maintain accurate and timely documentation across all projects, communications, and financials
- Ensure all projects move forward with consistent momentum and no unnecessary delays or stagnation
- Maintain clear accountability and ownership over all assigned projects from intake to close
Project Manager Required Skills / Abilities:
- Customer Service, Sales, Negotiations, and Creative Problem Solving
- Leadership. Especially if you are the Team Leader
- A Digital Native with proficiency in Xactimate, Google Workspace, Monday CRM, Box, Planr, and basic math

Project Manager Day to Day with OS:
- Every day runs a little differently depending on what is to be done, but there are some daily responsibilities
- First thing in the morning, at the end of the work day, + throughout as necessary: Review every active project, communicate with all necessary parties, submit notes and documentation to appropriate locations, create and prioritize to-dos for the following day/few days, organizing workspace, and archiving completed to-dos
- Follow the 1-minute rule: if it takes less than a minute, do it then and there before it is forgotten
- Example: upload receipts immediately, log communications, schedule follow-ups, update project notes
- Maintain constant communication loops with clients, subcontractors, and internal teams to ensure alignment
- Track project progress daily and ensure all timelines are being met or adjusted proactively
- Identify and resolve bottlenecks before they impact timelines or budgets
- Maintain clean, organized project files across all systems
- Ensure smooth coordination between estimating, operations, and execution
- Never forget that we are problem solvers and de-escalators, making money by efficiently providing our quality services and products
Preferred Background
- Insurance restoration Project Manager (water/fire/mold loss focus)
- Experience managing jobs through estimate → approval → rebuild → close (not just construction)
- Prior experience working with TPAs, carrier programs, or vendor networks (Alacrity, Contractor Connection, etc.)
- Strong Xactimate/Symbility/Time & Material Estimating exposure tied to real project execution, not just estimating
- Background in subcontractor-driven models (not self-perform only)
- Experience coordinating mitigation → reconstruction handoffs
- Familiar with insurance timelines, supplement cycles, and carrier friction points
- Has managed multiple concurrent jobs (30+) without breakdown
Experience dealing with difficult clients, delays, and escalations without losing control of the project - 👉 Translation: not a builder, not an estimator—a claims operator
